When responding to an RFP (Request for Proposal), clients often prefer a single blended rate rather than a complex breakdown of every team member's individual hourly cost. This simplifies their procurement process and makes your bid easier to compare.

The Blended Rate Formula

The standard formula for a blended rate is the total cost divided by the total hours. However, for a proposal, you must also account for your target margin.

Blended Rate = (Σ (Individual Rate × Total Hours per Role)) / Total Team Hours

Example: Software Development Squad

  • 1 Architect: 10 hours at $150/hr = $1,500
  • 2 Developers: 40 hours each (80 total) at $100/hr = $8,000
  • 1 QA: 20 hours at $75/hr = $1,500

Total Cost: $11,000
Total Hours: 110 hours
Blended Rate: $11,000 / 110 = $100/hr

Common Mistakes

One of the biggest mistakes is using a simple average (adding the rates and dividing by the number of roles). This ignores the volume of work performed at different rate levels. Always use a weighted average based on hours.
